Acceptance of booking and invoicing

Utopian Game Labs Academy Ltd has the right to not accept a booking.

We are unable to reserve a place for any students onto a course until either full payment, a deposit (if applicable) or a payment plan is in place, and the place has been confirmed to you by us.

By booking onto a training course with a deposit payment, full payment or a payment plan is in place, you are acknowledging that you have read and understood the terms and conditions herein

If a booking request is made using the Utopian Game Labs Academy Ltd website, you will receive an automatic e-mail confirming we have received your booking request. All bookings are subject to availability.

A booking should only be deemed to be accepted when Utopian Game Labs Academy Ltd issues an invoice in respect of the booking.

It is required for all courses that candidates must be able to understand, read and write in English to GCSE level.

If there are other pre-requisites for a particular course, by booking on that course you warrant that you fulfil all of these pre-requisites. Refunds will not be given where you have failed to meet the pre-requisites or you have falsely declared that you meet the pre-requisites.

Course fee and payment

The fee to attend a course must be paid in full before the date of the start of the course, or the student must have entered into a payment plan either by Direct Debit or other means.

Utopian Game Labs Academy Ltd has the right to refuse a student entry to the course if the course fee is not paid before the date of the start of the course.

Exams and Certificates

Where exams are not under the influence of awarding bodies we aim to distribute certificates within 14 days maximum.

Where examination results are carried out by an awarding body, there may be a delay in receiving the examination result.

At the sole discretion of Utopian Game Labs Academy Ltd, and where a customer has entered into a payment plan, certificates and awards will not be awarded until the cost of the course has been paid in full.

At the sole discretion of Utopian Game Labs Academy Ltd, and where a customer has entered into a payment plan, a job interview will not be made available to a student until the cost of the course has been paid in full.

Complaints and Appeals

Complaints in the first instance should be made to the tutor, lecturer or person in charge. If you are unhappy with the outcome then it will be taken up as per the company complaints procedure for students, which is available upon request. Awarding bodies will not accept complaints directly unless you have followed this process.

Cancellations

The customer must advise Utopian Game Labs Academy Ltd of a cancellation in writing.

If a customer does not advise of a cancellation in writing before the date of the start of the course, the full course fee will be payable.

If a customer cancels a booking 14 calendar days or more before the date of the start of the course, 30% of the course fee will still be payable.

If a customer cancels a booking less than 14 calendar days before the date of the start of the course, 100% of the course fee will be payable.

Transfers

If a student can no longer attend a course, they can nominate another person to attend the same course in their place. This will incur no charge. A student may not nominate another person once the course has started.

Cancelled courses

Utopian Game Labs Academy Ltd has the right to cancel a course. In this event Utopian Game Labs Academy Ltd will reimburse in full any course fees paid and Utopian Game Labs Academy Ltd’s liability will be limited to the value of the course fees paid.

Personal data

Any personal data supplied by the customer can be processed by Utopian Game Labs Academy Ltd on the legal bases and for the purposes set out in the Privacy Policy, which is freely available here: https://ugla.uk/privacy-notice/
